Who is responsible

Briefing enquiries

We collect the details you provide, which may include your name, work email, organisation, role, sector, area of interest, deployment preference, timescale and the context of your proposed workflow. The enquiry form does not ask for a telephone number.

How we use the information

We use it to assess and respond to your request, arrange a briefing and manage any resulting commercial discussion. We do not use the form to enrol you in general marketing and we do not sell your information.

Lawful basis

We process briefing enquiries because it is necessary to respond to steps you ask us to take before a possible contract and for our legitimate interests in assessing and managing relevant commercial enquiries. The acknowledgement beside the form confirms that you have seen this notice; it is not used as consent for unrelated marketing.

Required information

The form marks the details needed to assess and answer a request. Other fields are optional. If required information is not supplied, we may be unable to respond. We do not use this information for solely automated decisions with legal or similarly significant effects.

Retention and access

Enquiry information is stored in restricted website infrastructure and is normally deleted after 24 months. We may retain it longer where a commercial discussion remains active or where this is reasonably needed to establish, exercise or defend legal rights. Short-lived access tokens and security event records are retained only for operational security. Access is restricted to authorised PF Systems Ltd personnel.

Service providers

Limited information is processed by Cloudflare and OpenAI's Sites service to host, secure and operate the website and its database, and by Resend to deliver enquiry notifications. It may also be processed by professional advisers or public authorities where disclosure is legally necessary. Where a provider processes information outside the UK, we require an appropriate lawful transfer mechanism and safeguards.

Essential website technology

The website does not use advertising cookies. Its security and hosting providers may set strictly necessary technical cookies, including Cloudflare's __cf_bm bot-management cookie, to distinguish legitimate traffic and protect the service. These are not used by PF Systems for behavioural advertising.

Your choices

Depending on the circumstances, you may ask for access, correction, deletion or restriction, or object to our use of your information. To exercise a right or raise a privacy question, email contact@pfsystems.ai. You may also complain to the UK Information Commissioner's Office.
